What your mileage records need
It depends on your car. If you use your own car and get a mileage allowance, date, distance, and purpose are enough. If you have a company car with a no-private-use declaration, the Dutch tax authority requires a full trip log: for each trip, the date, route, odometer readings, and business purpose. Read more about the rules in mileage logs.
Half5 only asks for what your vehicle needs per trip. You set a tax regime for each vehicle, and the trip form adjusts to match. Half5 knows the rules for the Netherlands, Belgium, Germany, and France.
How automatic mileage tracking works
Turn it on and the app detects car trips automatically. Your phone looks up place names—never the Half5 server. Detected trips wait for your review; until you confirm them, only you can see them.
You can confirm each trip or the whole week at once, and pick business, commute, or personal. A personal trip in your own car isn’t saved. With a company car, it is, since a full trip log also needs personal miles. No automatic detection? You can also add a trip manually, on web, desktop, or phone.
Trips alongside your hours
Trips are logged in the same place as your work and leave, but don’t count as work hours. For each client, you choose how trips are billed: per mile, a set amount per trip, or as travel time at a portion of your hourly rate. If you pay a mileage allowance to employees using their own car, you’ll see which trips cost money per employee per week.
Only trips that involve money go through approval. The rest just stay in your records. With the trip log export, you get a CSV for Excel or your accountant.
You never fill in more than you need.
-
Own car
Date, distance, purpose, and route. Enough for a mileage allowance or to bill clients.
-
Company car, no personal use
A full trip log with odometer readings, route changes, and license plate.
-
Taxable benefit or van
Just the distance. For a van used only for business, the personal option is left out.
